Marketing Services Coordinator

The Marketing Services Coordinator is a critical position in the Marketing Services department connecting our business with our production and content teams, ensuring our projects are dealt in a timely manner and at expected quality. They oversee all print and digital projects from start to finish, ensuring these projects are received, reviewed, organized, delegated and output as planned. Excellent communication, forward thinking, project tracking and organizational skills are essential aspects of this role, as well as knowledge of print process and substrates. Graphic Design skills and understanding Marketing media production are additional assets.
Roles and Responsibilities
- Review briefing documents for completion and clarity of ask.
- Follow a regimented workflow, always looking for ways to improve efficiency. Taking initiative, drive and support change is expected in this role.
- Delegate the work, follow up and give and receive constructive feedback. Set up the flyer/catalogue allocations and manage assignments.
- Set up and manage Workfront templates for all flyers/catalogues and create assignments.
- Set up and manage flyer and TV coop ads in Surecast.
- Update and maintain flyer schedule.
- Coordinate the proofing process and quality check for all marketing services projects.
- Proof the quality of the flyer/catalogues, set up zone spreadsheets and upload final files to the print and digital vendors.
- Ensure that all deadlines are managed and met.
- Assign other Workfront projects to the Marketing services team.
- Balance a workload for Graphic Artists between flyer, digital and special projects, ensuring information is complete.
- Maintain and update Workfront proofing groups as required.
- Coordinate and schedule work with our printing vendors.
- Coordinate with stores to update signage when requested.
- Create correction notices and product recalls as quickly as possible.
- Excellent communication skills, both written and verbal.
- Demonstrate good interpersonal skills when dealing with customers, staff & management.
- Strong problem-solving skills.
- Ability to prioritize and manage multiple projects at once while respecting associated deadlines.
- Ability to work both independently and collaboratively in a team setting.
- Solid understanding of marketing production environment and output.
- Consistently looking for ways to improve the process, having in-depth knowledge of department customers, vendors and business needs.
- Strong administrative and project tracking skills.
- Minimum 2 years marketing production coordination, ideally in a retail environment.
- In-depth knowledge of Microsoft Office (Excel, Outlook, Teams, PowerPoint), Adobe Acrobat and Workfront, FTP clients.
- Working knowledge of Adobe CC and Transcontinental Job Assistant is an asset.
